Remote Communication Tools and Tips

There are multiple tools to be able to continue communication with staff and others while working remotely.

  1.   Conference lines are great for large groups that only require audio. Each department can get their own conference line by submitting the following information to Dennis_Jimmie@ykhc.org. Any conference lines that require more than ten callers will take longer to generate.
    • Department
    • Manager Name
    • Manager Email
    • Manager Work Phone
    • More than 10 callers
  2. Vidyo can be used to screen-sharing or face time is necessary. It’s encrypted and secure. Only one Vidyo account is required to setup a meeting because each account has a Vidyo Room and a link to the room can be shared with others inside or outside of YKHC (e.g. partners or interviewees). Complete an IT Security Access Request to request a Vidyo account.
  3. Department email distribution lists are a quick, simple way to keep everyone in your department up to date. Email allows for easy referencing, sent and received messages can be stored and searched, leaves a paper trail of conversations and interactions in case you need them in the future, and is convenient for sharing small to medium size files. Managers may request to have email list members added or removed by IT, and/or  request to have access to manage the email lists themselves by submitting a Create or Modify Mail List Service Request.   4. For departments that have TigerConnect, chatting one-on-one or in groups can be an effective form of communication. TC can be accessed via mobile device, desktop, or web and is a secure method to share small to medium size files, pictures, etc (messages delete after 24 hours).  It’s true that TC was primarily acquired as a replacement for an antiquated paging system, but it’s actually a very good tool for chatting online as well. Anyone can create groups and if certain groups are meant for chatting instead of urgent, pager-like communication they can be easily muted on an individual basis (Group Messaging Job Aide).  Additionally, urgent messages can be sent as “Priority” messages. TC has sent, delivered, and read receipts so if your message is stuck in sent or delivered status than you may want to resort to a good old-fashioned…
  5. Phone call. Some things should be verbally relayed as typed messages can cause misunderstandings, get lost among hundreds of other messages, and nothing gets someone’s attention quite like a phone ringing. The YKHC directory can be accessed via the intranet, outlook, Boxer, or by calling 543-6200 and simply saying the name of the individual or department you wish to speak with (speak clearly and without background noise).
