Soon-to-expire network accounts

YKHC contracts a third party vendor to perform a security audit on an annual basis. One of the risks they identify are accounts without expirations dates. This is especially a concern for contracted employees because we have no way of ensuring that their organization will properly notify us of their termination. It also provides a fail-safe for individuals that don’t process terminations, or if there are any other random failures in our processes.

Over a year ago the Compliance department and IT worked together to develop a process for ensuring that every account has an expiration date. Direct hires are allowed extensions of up to two years and contracted workers are allowed up to three months.

The IT department emails the individual and their supervisor a 30 day notice, and a 14 day notice. So if you’ve received one of these emails, please do not delay.

When a network account expires it simply doesn’t allow access to the network. After receiving the proper approvals (i.e. form with manager approval) a Service Desk Technician simply extends the expiration date of the account and the employee is able to access all of their homdirs, emails, and applications as they were before.
