Furloughs & Layoffs: Guidance For Managers on Timesheets

COVID-19 has caused a major disruption to our daily lives and to YKHC operations, forcing us to take the difficult step of reducing our workforce. Below is step-by-step guidance to help managers complete timesheets for affected employees for the upcoming pay period(s). 

Reduction in Hourseffective May 3, 2020

This applies to employees whose status was changed from full-time to half-time.

  • Before approving the timesheet, ensure the hours recorded in Kronos math the half-time schedule.
  • Any use of overtime must be pre-approved and only used in order to meet critical business needs.

Furlougheffective May 9, 2020

This applies to employees whose status was changed to Leave Without Pay Approved.

  • Ensure hours recorded in Kronos after May 9, 2020, are LWOPA.
  • Do not use PTO, as the use of PTO is not authorized during this time.
  • Continue to use LWOPA for these employees until you receive notification the employee has been authorized to return to the organization or the employee has been termed.

Reduction-In-Force/Layoffeffective May 9, 2020

This applies to employees whose employment relationship was terminated.

  • The day an employee was notified they would be released from work was their notification date.
  • The remaining days of the employee’s timesheet should be coded LWOPA, up through May 9, 2020.
  • Please closeout, finalize, and approve the timecard immediately following any terminations.
  • When a termination occurs outside of the Reduction-In-Force process, please submit a termination request in Kronos.
